WhatsApp Automation for Business: Website Widget, AI Inbox Agent and n8n Workflows
Two ways to put WhatsApp to work. For most businesses the fast route is ChatWidget, our own product: a page-aware WhatsApp widget for your website and an AI inbox agent that answers from your knowledge base, set up in about five minutes with a free plan. For order updates, lead qualification, bookings and anything that must talk to your CRM or Shopify, we build custom WhatsApp workflows in n8n on the WhatsApp Business API. Both are run by the same team.
Option 1: ChatWidget, ready in five minutes
ChatWidget is the product we built after wiring the same WhatsApp capture flow for client after client. It does one job well: turn website visitors into WhatsApp conversations and answer them automatically.
- Page-aware widget. It reads each page of your site and writes a specific opening message for it, instead of one generic "Chat with us" button.
- AI inbox agent. Trained on your products, FAQs, policies and pricing; answers questions, handles objections and qualifies leads, and you take over whenever you want.
- Analytics. Visits, widget clicks, conversation rates and top pages, live.
- Multi-website. One dashboard for every site you manage, built with agencies in mind.
- Webhooks. Every conversation can trigger an n8n or Zapier workflow, so it plugs into the custom builds below.
Free plan, no credit card, about five minutes to set up: paste your URL, scan your WhatsApp QR code once, done. Start free on chatwidget.ai →
Option 2: custom WhatsApp workflows on the Business API
When WhatsApp needs to do things rather than only answer, we build the flow in n8n on the official WhatsApp Business API and connect it to the systems you already run.
| Use case | What the workflow does | Typically connects to |
|---|---|---|
| Order and delivery updates | Confirmation, shipped, out-for-delivery and delay messages sent from your store events, with replies routed to a person when needed | Shopify, WooCommerce, your fulfilment tool |
| Lead qualification | Asks the three or four questions you would ask, scores the lead, writes it to the CRM and alerts the right rep | GoHighLevel, HubSpot, Google Sheets, Slack |
| Appointment booking and reminders | Offers slots, books them, sends reminders and handles reschedules | Google Calendar, Calendly, GoHighLevel calendars |
| Support triage | Answers from your knowledge base, collects order numbers or photos, escalates to a human with full context | Your helpdesk, Slack, email |
| Re-engagement | Template messages to opted-in customers: abandoned carts, renewals, review requests | Your store or CRM |
Every build includes approved message templates, opt-in handling, a human hand-off path, documentation, and an error workflow that alerts you if anything stops. You own the WhatsApp Business account, the n8n instance and the data. See the AI agents and workflow automation service for how projects are scoped and priced.

- You need WhatsApp to send and act on events from your store, CRM or calendar: a custom n8n build.
- Both: common for e-commerce brands and agencies. ChatWidget captures and answers; its webhook hands qualified conversations to the n8n workflow.
Frequently asked questions
What is WhatsApp automation?
Replying to and starting WhatsApp conversations without a person typing each message: a website button that opens WhatsApp with a message written for that page, an AI agent that answers questions from your product and policy information, and workflows that send order confirmations, booking reminders or follow-ups from your other systems.
What does ChatWidget do?
ChatWidget scans your website, writes a tailored WhatsApp opening message for every page, shows a widget visitors click to start the chat, and routes the conversation to an AI inbox agent trained on your knowledge base. It includes analytics, multi-website management for agencies, and webhooks into n8n or Zapier. There is a free plan, no credit card is needed, and setup takes about five minutes.
When do I need a custom build instead?
When WhatsApp has to talk to your other systems: sending order and delivery updates from Shopify or WooCommerce, qualifying leads and writing them to GoHighLevel or HubSpot, booking appointments into a calendar, or escalating to a human in Slack. Those run on the WhatsApp Business API with the logic built in n8n, and we build and maintain them.
Is this allowed under WhatsApp's rules?
Yes when done through the official WhatsApp Business API with approved message templates and user opt-in. We only build on the official API and we set up templates and opt-in flows as part of the work.
How much does WhatsApp automation cost?
ChatWidget has a free plan and paid Pro and Enterprise plans quoted on request. A custom WhatsApp workflow built in n8n is a Starter or Growth project, $500 to $5,000 depending on the number of flows and integrations, plus WhatsApp's own per-conversation fees and any AI usage, which are billed to you directly.
How do I automate WhatsApp messages?
Three routes. The WhatsApp Business app gives you quick replies, greeting and away messages, with no integration. The WhatsApp Business Platform (Meta's Cloud API) lets software send approved templates and reply to customers, which is what order updates, booking confirmations and AI replies run on; it needs a Meta Business account and a phone number that is not registered on the consumer app. ChatWidget covers the website-to-WhatsApp part with an AI inbox agent, and n8n connects the API to your store, CRM or calendar.
How do I get the WhatsApp Business API from Meta?
Create or verify a Meta Business account, add WhatsApp in the Meta developer dashboard or through a Business Solution Provider, register a phone number that is not on the consumer app, set a display name for approval, and submit message templates for review. Messages to customers then go through the Cloud API, with a webhook for replies. We handle this setup as part of a WhatsApp automation build.
How much does the WhatsApp Business API cost per message?
Meta bills per delivered business message since 1 July 2025, with rates by category (marketing, utility, authentication) and by the customer's country; messages the customer sends you are free. From 1 October 2026 each business number gets 1,000 delivered service replies a month at no charge, after which service messages are billed too. Meta's WhatsApp Business Platform pricing page has the current rate card (checked 2 November 2026).
